    REGISTRATION/VENDOR AGREEMENT
    ​The following agreement is made by and between (“Vendor”) and Charles J. Colgan, Sr High School (“Colgan”) and governs the parties’ responsibilities for the Colgan Athletic Boosters 2023 "Holiday Craft & Vendor Event” (“Event”) to be held on November 16, 2024, at Charles J. Colgan Sr. High School in Manassas, Virginia. ​

    VENDOR SPACE
    Each vendor is provided with a rental space as determined by the Vendor Registration. If you extend outside of your rental space, you will have to pay for the additional space. Vendors need to provide their own set-up including table and chairs for displaying their merchandise. Vendors understand that they are responsible for all needed display props. Electrical outlets are LIMITED and issued on a first-come first-served basis.
     
    BOOTH SETUP
    Volunteers will be present to direct and assist vendors to their assigned areas for set-up beginning two (2) hours before event start time. Due to safety reasons, vendors that arrive after the event start time may forfeit pre-assigned booth locations and be assigned to an alternate location. All vendors should be completely set-up by 9:45AM. To prevent accident or injury, any vendor wishing to leave early, MUST notify a Craft Fair Official. With permission a booth may be packed up and ‘walked out’.
     
    BOOTH BREAK DOWN
    Volunteers will be present to assist vendors in ‘breaking down’ their booths. Break down will happen immediately following the event.
     BOOTH SHARING
    Due to county requirements with respect to insurance, vendors are not allowed to share booth space, but must register for their own booth space.
     
    VENDOR REGISTRATION & FEE
    In order to participate in the Colgan Craft Fair, a vendor must have a completed registration, paid fee and a confirmation email.
     
    PRIME LOCATION/ELECTRICITY
    The Vendor has the option to select a Prime Location or Electricity options in the Vendor Registration Form. Selecting these options does not guarantee having them. In the Vendor Registration Form you will select your first three (3) location choices. These locations will be sold on a first -come first-served basis. The vendor will know their location before paying the registration fee. No locations will be confirmed until the registration fee is paid.
     VENDOR CATEGORY EXCLUSIVITY
    We want every Vendor to enjoy the event. We want the Vendors to benefit from the event. We will do our best to ensure that Vendors for Direct Sale items (where items are the same) are limited to one Vendor.
      CANCELLATIONS, REFUNDS AND TRANSFERS
    In case the Craft Fair must be cancelled for reasons beyond our control (inclement weather, PWCS closing, venue related issues, government-imposed regulations), full refunds will be issued. If a Vendor needs to cancel its registration before October 1, 2023, the Vendor will receive 50% of their Registration Fee. If a Vendor needs to cancel its registration before November 1, 2023, the Vendor will receive 25% of their Registration Fee. There will be no refunds after November 1, 2023. Registrations can be transferred until November 17, 2023, assuming insurance requirements are met.
     
    DEADLINES
    The Vendor Registration deadline is August 31, 2024
     TAXES
    The Vendor will pay all sales taxes required by law.
     INSURANCE
    The Vendor will obtain required fire, theft, casualty, and other insurance required to insure fully against loss or damage to merchandise and fixtures. Colgan will not be responsible for any losses to merchandise from any source.
     LIABILITY
    The Vendor shall indemnify, save and hold harmless Colgan from any and all liability damages (including personal injury and property damage), claims or expenses which in any manner arise from or related to the Vendor’s performance or failure to perform under this agreement.
     SALES
    The Vendor will be equipped to process its own credit card sales, either through paper transactions or wireless internet. (Access to electrical outlets will be very limited.) Access to the PWCS Guest will be provided.
     
    ALCOHOL IS NOT ALLOWED AT THIS EVENT

     
    PAYMENT METHOD
    Payment will be made via PayPal after this Registration/Vendor Agreement has been filled out, submitted, and you have been confirmed for a space.  You will be provided the link to the payment to secure your reservation once the space availability and location is confirmed.
